How to Back Up and Export Birthday Reminders

To back up and export birthday reminders, protect the app database and the source records separately. A whole-device backup covers locally stored app details. A vCard or ICS file gives you a portable copy of birthdays that already live in Contacts or a regular calendar.

These methods are complementary, not interchangeable. Exporting Contacts does not capture notes, gift ideas, favorites, or custom reminder settings saved only inside a birthday app.

Choose the right protection for each type of data

Start by identifying where each record lives:

Birthday Reminder: Tracker works without an account. Its privacy policy says added information is stored locally in an Apple App Group container shared by the app and its widget.

Apple says iCloud Backup includes downloaded-app data that is not already syncing through iCloud Drive. This makes a device backup the relevant protection for Birthday Reminder’s local records. However, individual apps can be excluded from iCloud Backup, and neither a Contacts export nor a Calendar export substitutes for that app-data backup.

The current App Store listing and privacy policy do not document a built-in Birthday Reminder export. Treat vCard and ICS files as copies of their respective source records, not as complete exports of the app.

Back up Birthday Reminder with iCloud

To enable automatic iCloud Backup:

1. Open Settings and tap your name.
2. Tap iCloud > iCloud Backup.
3. Turn on Back Up This iPhone.
4. Tap Back Up Now for an immediate backup.

Apple says automatic backups run daily while the iPhone is connected to power, locked, and on Wi-Fi. Supported devices and carriers may also offer backup over cellular.

Check app inclusion before relying on the backup:

1. Open Settings > [your name] > iCloud > iCloud Backup.
2. Tap the entry for this iPhone.
3. Review the apps included in the next backup.
4. Make sure Birthday Reminder has not been excluded.

Wait for Back Up Now to finish and confirm the displayed backup time. If you later delete Birthday Reminder, its privacy policy says its locally stored data is removed, so create the backup before deleting or reinstalling the app.

Create a computer backup as a second copy

A computer backup is useful when you want a copy outside your iCloud storage allowance.

On a Mac:

1. Connect the iPhone and select it in Finder.
2. Open General.
3. Select Back up all of the data on your iPhone to this Mac.
4. Select Encrypt local backup if you want password protection.
5. Click Back Up Now.

On Windows, connect the iPhone and use Apple Devices or the applicable iTunes backup interface to select the device and start Back Up Now.

If you encrypt the backup, store its password safely. A computer backup is still a device snapshot rather than a browsable list of birthdays, and it should not be edited directly.

Export iCloud Contacts as a vCard

Use a vCard when the authoritative birthday dates are saved in iCloud Contacts:

1. On a computer or tablet, open iCloud Contacts and sign in.
2. Select the contacts you want, or choose Select All Contacts from the Actions menu.
3. Select the Share button.
4. Choose Export vCard.
5. Save the resulting .vcf file in a protected location.

Apple explicitly describes an all-contacts vCard as a contact backup. Multiple selected contacts are placed in one file.

This exports contacts available through iCloud.com, not necessarily every contact visible on the iPhone. Contacts stored only in Google, Exchange, or another account need that provider’s export process. Use Contacts > Lists on iPhone if you are unsure which account owns a record.

A vCard may contain phone numbers, email addresses, notes, and other contact details in addition to birthdays. Protect it as personal data. It also will not contain Birthday Reminder notes or reminder settings created after a selective Contacts import.

Export a regular birthday calendar as ICS

If you manually created birthday events in a normal iCloud calendar, Apple provides this download method:

1. Open Calendar on iCloud.com.
2. Publicly share the calendar you want to copy.
3. Copy its sharing URL without opening it.
4. Change webcal at the beginning to http, then open the address.
5. Save the downloaded .ics file.
6. Stop sharing the calendar immediately.

Anyone with the public URL has read-only access until sharing is disabled. Avoid this method if briefly making the calendar public is unacceptable.

These instructions apply to a calendar that can be selected and publicly shared. Apple’s archive article does not establish that the automatic Birthdays calendar generated from Contacts can be exported this way. Store exported files safely

Use at least two storage locations, but avoid creating uncontrolled copies.

A practical arrangement is:

• One current device backup in iCloud.
• One encrypted computer backup or another independent device backup.
• One dated vCard or ICS export in a folder that is itself backed up.

Use names such as birthday-contacts-2026-08-12.vcf rather than repeatedly overwriting an unlabeled file. Avoid putting an unprotected vCard in a shared folder because it may contain more personal information than the birthdays alone.

Verify what can actually be verified

Check each layer without pretending that all backups are directly inspectable:

• Confirm the device backup’s completion date and that Birthday Reminder is included.
• Confirm that exported files exist, have a plausible size, and are stored in the intended location.
• Test cross-platform vCard or ICS compatibility with a small sample before depending on a move to another service.
• After restoring or transferring an iPhone, open Birthday Reminder and compare representative birthdays, notes, and reminder settings before erasing the old phone.

A full device backup cannot prove every app record is recoverable merely by displaying a successful timestamp. The meaningful app-data test happens after a restore or device migration.

Repeat backups after meaningful changes

Create a manual backup:

• After setting up the app.
• After importing a large group of birthdays.
• Before deleting or reinstalling the app.
• Before resetting, replacing, or trading in the iPhone.
• After making substantial changes to notes or reminder schedules.

Repeat vCard or ICS exports when their source records change significantly. Adding this task to a periodic birthday planning review is more reliable than trying to remember it separately.
